We are a busy office located at 1285 West Broadway, in search of the ideal candidate to fill a full time position of Receptionist to join our already amazing team. We are looking from someone organized with keen attention to details, articulate over the phone and in person, excellent communication skills both written & spoken. Our ideal candidate will thrive in a team environment and willing to go the extra mile. Below you will find a description of the duties you will learn to do effectively and efficiently.

The Job descriptions are as follows:

• Manage very busy switchboard (the most important part of the position): Transferring calls according to specific instructions for each client, booking appointments on several different calendars/systems, answering FAQ for different business and industries, delivering outstanding customer service at all times
•Perform reception duties such as greeting clients, offering refreshments, directing clients to the appropriate office, and letting clients know when appointments arrive
•Provide general administrative and clerical support including scanning, faxing and copying
•Sort large amount of incoming and outgoing mail, scheduling courier pickups as needed
•Assist with basic IT support for clients, including setting up printers, troubleshooting network issues, arranging conference calls, connecting TVs/devices to client’s laptop
•Maintain up to date electronic and hard copy filing system
•Prepare documents such as monthly and weekly reports, memos and emails
•Set up new clients on our system, activating new phone lines or extensions, programing voicemails and providing office keys, mailbox keys and access cards as needed
•Contribute in advertising and marketing efforts including social media platforms
•Follow opening and closing procedures which include general tidying of the lobby and offices
•Maintain office supplies, inventory and orders
•Administrative services such as invoicing and payment procedures
•Mail sorting and distribution

• Strong communication skills in person and over the phone
• Strong administrative and organizational skills
• Exceptional customer service is a must
• Ability to improvise and problem-solve with accuracy
• Enthusiastic personality with a can-do attitude

• Advance understanding of Microsoft Office Suites including: Word, Excel, and PowerPoint
• Experience with QuickBooks and Moneris
• Knowledge in bookkeeping and data entry
• Strong technical computer skills
• Excellent verbal and written communication skills with previous phone experience
• Proficient in French
