The Administrative Assistant to the Senior Managing Attorneys provides administrative and clerical support of the Senior Managing Attorneys (SMA) in the duties to support the growth, development and effective performance of NJP’s field offices and statewide units.

The Administrative Assistant – SMAs will serve as part of the larger administrative assistant team that provides support to statewide roles. As part of that team, serves as a resource to all Northwest Justice Project (NJP) employees, providing accurate, timely, and appropriate information and assistance.

This is a full-time, non-exempt position. It is anticipated this position will be located in NJP’s Seattle office, however location is flexible contingent on availability of space in other NJP locations.

RESPONSIBILITIES

The position responsibilities include but are not limited to the following:

Schedule and Meeting Coordination

Schedules interviews and meetings in-person and on various platforms, e.g., Teams, Zoom, etc., ensuring all parties have relevant materials prior to interviews and meetings

Attends meetings as requested by any SMA, and if requested take and produce minutes.
Tracks tasks and action items as articulated in meetings
Develops a system to help ensure tasks and action items are tracked and calendared for follow through

Administrative Support Programs, Policies and Guidance

Assists in tracking, recording and monitoring timelines for field office and statewide unit staff reviews

Develops system and provides reports to SMAs regarding timekeeping requirements

Designs and runs reports in NJP’s electronic case management system

Assists SMAs in tracking and reporting for other projects

Shared Platform Support

Supports the ongoing creation and maintenance of NJPedia (on SharePoint)

Creates, disseminates, and compiles survey results through various platforms (MS Forms, Survey Monkey, etc.)

Develops tools to support statewide collaboration through various platforms

Travel Assistance

Manages all aspects of travel for the SMA Team
Assists with expense management

Other General Administrative Support:

Prepares and edits correspondence, letters, memos, presentations, training materials and spreadsheets
Provides accurate, timely, and appropriate information and assistance
Assists with special projects as needed

QUALIFICATIONS

Passion for mission driven work and demonstrated commitment to social justice and race equity

Two or more years providing administrative support preferred

Ability to maintain confidentiality and use discretion essential

Excellent communication skills electronically, telephonically, and face to face

Strong writer, capable of editing and formatting manuals and other written materials

Organized and detail oriented, with the ability to support multiple projects simultaneously

Capable of serving in a project management support capacity

Proficiency in Microsoft Office 365, particularly Excel, and cloud-based communication systems

Skilled with or demonstrate ability to learn various other functionalities of our Microsoft Suite, including Planner,
OneDrive, Teams, PowerPoint, SharePoint

Ability to maintain composure in high-stress situations

Adaptive and flexible with the ability to change course quickly

Compensation: Salary is based upon years of experience, with an annual salary range of $43,410 - $75,995. This is a non-exempt position. We offer a comprehensive benefits package, which includes 100% paid employee health premiums and significant premium shares for family health premiums, as well as generous time off.

Hours of work: 9:00 – 5:00, Monday through Friday
